Judy Alexander called the meeting to order at 7:30 p.m. Quorum was established.
The Board reviewed the February minutes. A motion was made to approve the minutes, seconded and approved.
New Business
Felton Wright – Felton reported to the Board the committee’s suggestions for policies of using the GWTC new RFID timing system. The order of priority is as follows: Club races, non-club races that are Grand Prix races and all other races within 100 miles of Tallahassee. A fee schedule was also suggested and a contract will be developed for non-club races. Following discussion among board members, a motion was made to adopt the guidelines as presented and designate Peg Griffin as the person responsible for determining the availability of the equipment. The motion was seconded and approved. Additionally, a motion was made and approved requesting all funds from the rentals of the equipment be segregated from other club monies for accounting purposes.
Tom Perkins – Tom presented a proposed budget for the Tallahassee City Track and Field Championships which will be held at the FSU track on April 3, 2011, at 6pm. After some discussion, a motion was made to approve a budget for up to $1500 for GWTC to be a title sponsor of this track meet. The motion was seconded and passed.
Mark Priddy – The 2012 Flash 12k/6k race had net proceeds of $1,283. One half of the proceeds, $641.50 will be donated to the Chenoweth Fund. $157 was collected at the race as Chenoweth Fund specific donations, for a grand total of $798.50 donated to the Chenoweth Fund. The remaining $641.50 will go to GWTC.
Herb Wills – Herb presented the proposed budget for the 2012 Palace 5k to the Board. A motion was made to approve it as presented, seconded and passed.
Treasurer’s Report – Jerry Chesnutt
There is $42,201 in the Club’s checking account and an additional $50,349 invested. The Chenoweth fund has $14,324 and the Tri Club has $6,461. A motion to allow Jerry to explore Quick Book Cloud options and commit up to $50/month was made, seconded and approved.
Membership Report –Mark Priddy
The Club has 1,466 members in 812 households. This represents 200 more members than we had this time last year.
Race Director Coordinator Report –Jackie McDaniel for Charlie Yates
Things are moving smoothly right now; almost no additions or deletions to the calendar.
Newsletter Report – Jackie McDaniel for Fred Deckert
None
Clothing Coordinator Report – Paula O’Neill
Paula sold $1,630 worth of clothing and merchandise this month. Most of proceeds have come from the sale of the new GWTC visors and reflective shirts.
Equipment Report –Vicky Verano
Equipment pickups and drop-offs are going smoothly. The addition of the second storage unit has made handling equipment rentals and storage much easier. Vicky thanked Judy Alexander and Bill Lott for their help when she had conflicts over the last few months and they stepped in for her and handled equipment rentals.
Website Report – David Yon
John McCoy has completed importing the race results data from the Gulf Winds website into a Microsoft Access Database. This database contains race data from 1976 through February, 2012 (187,467 records). The database will be updated as new race results are generated. The next phase of the project will be to enhance the current race results search engine to enable users to search the entire database based on selected criteria. Currently users have the ability to search race results only by name.
Chenoweth Fund Report – David Yon
The Tallahassee Trailblazers youth running club requested $1,500 to assist the participants with expenses. The Chenoweth Committee approved $1,000. A motion was made to approve this request for $1,000, seconded, and approved.
Triathlon Report –Bill Dillon
Tri Club membership is in excess of 290 members. The Tri Club Board is working on the Club bylaws and expects them to be finalized soon. Kathy McDaris has scheduled several 1st Timer clinics for people training for the Red Hills Tri. The Club’s webpage is up and running.
Lecture Series Report – Nancy Stedman
Nancy was able to get a copy of the video, Unbreakable, The Western States 100, and had it running during the recent marathon expo. She is planning a movie night in the near future where this video will be shown.
Training Report – Chuck Davis
Springtime training group is going well. K-Swiss will be bringing road test shoes for everyone to try during Monday’s March 19, 2012 Springtime training group. The Trail Blazers will start April 2, the Monday after the Springtime race. The graduation race will be the Potluck Bash 4 Miler.
Social Coordinator Report – Elizabeth Stupi
There will not be a social in March. A family oriented social is scheduled for April and it will be a late afternoon function at Tom Brown Park on April 28 that will include snacks and outdoor games. More information to follow.
Prior to adjourning, Mark Priddy announced that the Club will have a booth at the upcoming FSU Relays. The dates are Friday, March 23 from 10-6 and Saturday, March 24 from 11-5. Volunteers will be selling GWTC clothing and merchandise and handling registrations for anyone who wants to join the Club. Anyone interested in volunteering should contact Mark.
There being no further business to discuss, a motion to adjourn was made, seconded and passed unanimously at 8:59 p.m.
