GULF WINDS TRACK CLUB Minutes
of the October 12, 2011, Board Meeting Hosted by David and Mary Jean YonPresent: Felton Wright, Mark Priddy, Jerry Chesnutt, Herb Wills, Judy Alexander, Lisa Unger, Reid & Linda Vannoy, David Yon, Tom Perkins, Charlie Yates, Vicky Droze, Elizabeth Stupi, Mary Jean Yon, Fred Deckert, Bill Lott and Kathy McDaris.
Judy Alexander called the meeting to order at 7:30 p.m. Quorum was established.
The Board reviewed the September minutes. A motion was made to approve the minutes, seconded and approved.
New Business
Reid Vannoy presented a proposed budget to the Board for the GWTC 10 Mile Challenge. The Board requested a change to the flyer to include the early registration discount ($2) for GWTC members. Following that, a motion was made to approve the budget, seconded and passed.
Bill Lott requested reimbursement for the cost of printing the race flyers that he makes available at intervals and other club functions. After some discussion, a motion was made to give Bill up to $1200 to either buy supplies (such as a printer), to pay for copying costs at a copy shop or use his own discretion to ensure adequate supplies of race flyers. The motion was seconded and passed.
Mary Jean Yon presented the final election slate for 2012 officers to the Board. The Committee on Nominations will mail the ballots to club members on October 19th.
Fred Deckert offered a suggestion that the Grand Prix rules be modified to give runners 75 years old and older the option of running a shorter race, such as the mile, when the Grand Prix event is a 5K race or longer. It was agreed that the Grand Prix Committee should review this proposal and report back to the Board.
Mark Priddy updated the Board on the School Running Grants Program. The program is doing well with a total of eleven grants awarded so far this year. Mark shared a letter of thanks from DeSoto Trail Elementary which has over 270 students enrolled and 80 to 100 kids per day participating. DeSoto Trail runners have already logged over 850 miles during the first 6 weeks of school.
Lisa Unger reported that the Women’s Distance Festival netted a total of $1889.07. The Board approved a change in the allocation of proceeds to allow $250 to go to the FSU Women’s Cross Country team. The TMH Foundation received $500 and the remaining $1139.07 went to the Club.
Tom Perkins reported that the Miller Landing Madness races made a profit of $1404.09 which will go to the Chenoweth Fund. Tom added that he was particularly pleased with the large volume of canned goods (over 2,000 pounds!) collected for the Second Harvest Food Bank.
Treasurer’s Report – Jerry Chesnutt
There is $20,247 in the Club’s checking account and $77,944 in a certificate of deposit. The Chenoweth fund has $7,561.
Membership Report –Mark Priddy
The Club has 1,612 members in 875 households.
Race Director Coordinator Report –Charlie Yates
Charlie shared with the group that running and racing are still very popular as evidenced by the rush he is experiencing for 2012 race dates on the calendar.

Paula sold $118 in clothing and merchandise sales this month to the beginning running class at FSU.

Triathlon Report – Kathy McDaris
Kathy McDaris reported that she is working with the Committee on Nominations to coordinate the distribution of Tri Club election ballots when the GWTC ballots are mailed. She also reported that the Tri Club had a good turnout at this year’s Tri the Rez and they are now planning an Ironman Party as their next big event. The Club hopes to have their new web site operational soon as a way of sharing these kinds of updates.
Lecture Series Report – Judy Alexander for Nancy Stedman
Judy reported that The Yoga for the Athlete session was well attended and the opportunity exists for a GWTC yoga session at Namaste ($8 per person) if there is sufficient interest. Contact Nancy Stedman for more information. The next event in the Lecture Series will be held December 2nd at Boot Camp Fitness and will include an open house and an introduction of their programs.
Training Report – Judy Alexander for Chuck Davis
A training group has been formed to do the Turkey Trot races. The group meets on Monday evenings at 6:00 p.m. at the YMCA in Southwood. Another training group will be starting November 10th and will be focused on running the Thomasville Road Baptist Church 10K. That group will meet on Thursday evenings at 6:00 p.m. at the church.
Social Coordinator Report – Elizabeth Stupi
The next social will be held on October 22 at the Midtown Filling Station starting at 7:30 p.m. This year’s Holiday Party will be held Friday, December 9th from 7:00 p.m. – 11:00 p.m. at the American Legion Hall. The Groove Merchants will be this year’s band. Kathy Lindsay is continuing to coordinate with the Capital City Cyclists on this event.
Prior to the end of the meeting, David Yon reported that the Timing Committee hopes to have a final recommendation ready at the November Board meeting concerning the purchase of a RFID “Chip” timing system for the Club.
There being no further business to discuss, a motion to adjourn was made, seconded and passed unanimously at 8:35 p.m.
