Gulf Winds Track Club Minutes

Present:  Felton Wright, Jeanne O’Kon, Katie Showman, Elizabeth Stupi, Mark Priddy, Jerry Chesnutt, Charlie Yates, Jackie McDaniel, Brian Corbin, Lisa Unger, Herb Wills, Mary Jean Yon, David Yon, Rob McNeely, Tom Perkins, Chuck Davis and Bill Lott

Felton Wright called the meeting to order at 7:29 p.m.  Quorum was established.

The Board reviewed the December minutes.  A motion was made, seconded, and passed to accept the minutes as presented.

New Business

Jeanne O’Kon and Lisa Unger – Jeanne and Lisa reported on the first Race Directors Workshop that was presented on Sunday, December 9th, at Premier Health & Fitness Center.  Four club race directors participated.  All non-club race directors were notified of the workshop and 25 participated.  Jeanne presented the budget for the Grand Prix Awards Ceremony.  Jeanne also reported to the Board that the GP Awards Committee is monitoring non-club grand prix races to insure they have adequate liability insurance.

Felton Wright – Felton reported that he met with Tim Brewton, Bill Hillison, Katie Showman, Peg Griffin, and Jerry Chesnutt recently following up on a previous Board discussion of appointing a finance committee for the Club.  The group proposed appointing three finance managers with up to three bank accounts and divided responsibilities for handling club races.  Jerry Chesnutt would oversee the operations.  The finance committee will start with one race, the Springtime 10k/5k/1mile race.  Katie Showman has agreed to be the finance manager for this race.  A motion was made to approve opening an additional checking account for handling the Springtime race.  The motion was seconded, and passed.

Elizabeth Stupi – Elizabeth informed the Board that the holiday party must find a new venue for 2013 because the American Legion Hall will not be available.  After contacting several locations, Elizabeth and Kathy Lindsay proposed booking Shiloh Farms.  The band, Groove Merchants, has been confirmed for the event, which is scheduled for December 14, 2013.  A motion was made to approve the venue, seconded, and approved.  Robin Hill will replace Elizabeth on the social committee. 

Treasurer’s Report – Jerry Chesnutt
There is $62,744 in the Club’s checking account with $3,924 of that belonging to the Tri Club and $2,306 is in the equipment reserve fund.  The Chenoweth fund has $14,034 and there is an additional $50,531 in the investment account. 

Membership Report – Mark Priddy
The Club finished 2012 with 1,966 members.  Currently, there are 1,134 members in 636 households.  Prior to the board meeting, Mark emailed a draft of the updated membership pamphlet to board members for review. 

Race Director Coordinator Report – Charlie Yates
The race calendar is in good shape.

Newsletter Report – Jackie McDaniel for Fred Deckert
Nothing new to report.

Clothing Coordinator Report – Jackie McDaniel for Paula O’Neill
Paula sold $240 worth of clothing this month.

Equipment Report – Jackie McDaniel for Vicky Verano
Nothing new to report.

Website Report – David Yon
Nothing new to report.

Chenoweth Fund Report – David Yon
Nothing new to report.

Triathlon Report – Rob McNeely
The Tri Club had approximately 350 members at the end of 2012. A lot of members participated in the grand prix events in 2012.  An awards ceremony was held in December.  The 2013 grand prix schedule is posted on the website.  Fund raising efforts are in place – new cycling jerseys are on sale, and sponsorships are being sought.  The initial signup for the 2013 Red Hills Triathlon is Monday, January 21, at Momo’s.  Kathy McDaris and Mark Priddy will have a table set up outside starting at 4pm for registration.  New car decals are now available. 

Lecture Series – Nancy Stedman
Felton reported that the Club is looking for a new volunteer to coordinate the lecture series.  Dr. George Merritt will be the guest speaker on March 1st.  Details to follow. 

Training Report – Chuck Davis
Nothing new to report. 

Social Report – Elizabeth Stupi
There was a large attendance at the annual holiday party this year.  Robin Hill will plan monthly socials in the future.

There being no further business to discuss; a motion to adjourn was made, seconded, and passed at 8:19 p.m.
