Gulf Winds Track Club Minutes
of the March 12, 2014 Board Meeting Hosted by Mike BurnsPresent: Herb Wills, Mary Jean Yon, Jackie McDaniel, Jerry Chesnutt, Bill Lott, Mike Burns, Amanda Hudson, Nancy Stedman, Tom Perkins, Kathy McDaris, Peg Griffin, Mark Priddy, and Felton Wright
Felton Wright called the meeting to order at 7:30 p.m. Quorum was established.
The Board reviewed the February minutes. A motion was made, seconded, and passed to accept the minutes as presented.
New Business
Felton Wright – Felton gave a wrap-up of the 2014 Bowlegs 5k Run. There were net proceeds from the race of $1,125 and with additional sponsor contributions; the total proceeds were $1,765.
Felton Wright – Peg Griffin and Felton Wright did research on the cost savings to the Club to consolidate GWTC races and registration to a primary online provider for online registration. Four vendors were contacted and asked to provide special pricing quotes to us in exchange for the Club using them exclusively for numerous races. Event Brite provided the lowest price. A motion was made to choose Event Brite as the Club online provider for online registration. The motion was seconded and approved.
Mark Priddy – Mark gave a wrap-up report of the 2014 Flash 12k/6k races. Net proceeds were $1,473. The proceeds were split between GWTC and the Chenoweth Fund with each receiving $736.50. There was also an additional $205 contributed for the Chenoweth Fund.
Mandy Hudson – Mandy gave a wrap-up of the expenses from the Grand Prix Awards Ceremony held last January. She also told the Board that the Goodwood Museum has been reserved for the ceremony to be held in 2015.
Jackie McDaniel – Jackie received an email from the parent of a child who is participating in the Youth Grand Prix. The parent asked if the Club would consider insuring that when youth are given a choice of running the 1-mile or the 5k at the same race, that all youth who place in either the 1-mile or the 5k races are given race awards. After discussion among board members, it was determined that this was an issue for the Grand Prix Committee. Jackie will email the Grand Prix Committee and ask them to discuss.
Old Business
Tom Perkins – Tom presented the Big Bend Conference Championship Track and Field budget last month but was asked to research several issues and bring the budget back to the Board at a later date. Tom brought the budget back to the Board this month for reconsideration. He researched the need for additional insurance for the Club as a sponsor of the event and it was determined that additional insurance would be purchased. A motion was made to approve the budget. The motion was seconded and approved. Due to a misunderstanding as to the cost of the insurance needed for GWTC to be a sponsor, it was determined after the Board meeting, and by an email vote of the board members, that the Club will not be named as a sponsor, but will be a donor in order to reduce the Club’s liability since we will not purchase the insurance. The motion was made by mail to all Board members and was approved. The event will take place March 29 from noon to 6pm.
Treasurer’s Report – Jerry Chesnutt
There is $70,546 in the Club’s operating account that includes $2,484 in the Events 1 Account, and $2,174 in the Events 2 account. There is $50,351 in the Investment account, $14,783 in the Chenoweth account, and $8,785 in the Tri-Club account.
Jerry reviewed with the Board the Club budget for the time period January – June 2014.
Membership Report – Mark Priddy
There are 1,473 members in 668 households, which is 93 more members than last month. There are 301 Tri Club members.

Triathlon Report –Kathy McDaris
The Tri Club finished 4th in the National Club Challenge behind Washington D.C., Maryland, and San Diego. Chuck Kemeny set a world record at the Inaugural Ultra Man Florida competition. The first day, he swam 6.2 miles and biked 93 miles; the second day he rode 171 miles on the bike; and on the third day, he ran two marathons back to back in a time of 7:07. His total time was 21:38:32.

Training Report
Mandy Hudson reported that the Springtime training group is going well with 7 weeks completed and one week left. Last week, Adidas put on a demo of their shoes for the group. There has consistently been approximately 130 people in the group.
Social Report – Eric Godin via email
The February GWTC Social at Mid-Town Filling Station was a success, with about 40-50 people attending. The March Social will be on Sunday, March 29 (which is different than the date I posted on the GWTC Facebook page earlier this month) from 3-5 pm. The place is TBD, but I am leaning towards a get together at Tom Brown Park.
Other
Nancy Stedman said three people have expressed interest in taking over the Tallahassee Marathon and Half Marathon. Details to be provided at a later date.
