The meeting was called to order by Mark Priddy at 7:34 p.m. A quorum was established. The May meeting agenda was approved with no objection.
A motion to approve the meeting minutes for the April meeting was made, seconded and passed.
II. NEW BUSINESS
Summer Track News
Tom Perkins presented the information for Summer Track which was approved for Thursday evenings at the Maclay School track by school officials. The first meet took place June 3rd.
For the use of the facilities there is a $40 fee each week for bathroom cleaning as well as $75 for security purposes. A motion to increase the budget for Summer Track by $120 per week was made, seconded and passed. Bill Lott asked about providing paper cups for water at these events and it was stated that participants would be required to bring their own water.
Approval of Budget for Summer Trail Series
Mary Jean Yon presented the proposed budget for the Summer Trail Series on behalf of Bobby York. There will be four races this year with the permission of the city, those being June 12th, July 10th, July 24th, and August 28th. The budget includes anticipated revenues of $9,450 and expenses of $5,835 resulting in $3,615 net proceeds. A motion to approve the proposed budget was made, seconded and passed.
2021 Grand Prix Awards Committee
Mark Priddy made a motion to approve Erik Davis as a member of the Awards Committee which was seconded and passed..
Board Meeting Hosts
Mark presented the list of scheduled board meetings for 2021 and encouraged everyone to sign up for hosting. Once complete, that list will be published on the Gulf Winds website. A motion was bought forth to move the meeting time to 7:00 pm from 7:30 pm. The motion was seconded and passed. Starting in June, the start time is effective for 7:00pm.
2022 Tallahassee Marathon Budget
Sheryl Rosen submitted a preliminary budget for the 2022 Tallahassee Marathon. The total revenue is estimated at 88,100.00, with total expenditures estimated at 85,690.00 leaving a net revenue of 2,410.00.
A motion to approve the preliminary budget was made, seconded, and passed.
2021 Pot Luck Bash
David Yon shared plans for this year’s Pot Luck Bash which is presented by the Chenoweth Committee. A scaled down version of the race is tentatively scheduled for the morning of Saturday, June 5 pending approval from the board and the City of Tallahassee. A motion to allow the race to move forward was made, seconded and passed. David added that the Committee hopes to return to having a dinner and awards ceremony next summer.
SMIRF’s Update
David Yon reported that all approvals have been secured to move forward with the SMIRFs running camp this summer. He is looking for volunteer coaches to help out and the focus is on middle school kids. The City of Tallahassee has agreed to continue the practice of paying these coaches for their time. A motion to allocate $1,500 to pay the coaches was made, seconded and passed.
III. COMMITTEE REPORTS
Treasurer – Peg Griffin
Peg provided the treasury report as of April 31, 2021. Assets were reported at $258,055.91 and Net Revenue was $10,408.57. Peg also reported that the club has received an anonymous donation of $412 to be spent for youth running. It was agreed a list of possible uses would be developed before any allocations were made. Jerry McDaniel volunteered to lead this effort.
Triathlete Club – Tina Bahmer
Tina reported that the first in-person Tri-Club meeting would be held May 17th and that plans for the 2nd Grand Prix race for Tri-Club are underway.
Race Director Coordinator – Mary Jean Yon
Mary Jean reported that races are finally coming back with Breakfast on the Track planned for Saturday August 7. Unfortunately, there will be no onsite breakfast or awards, however the race will go on. The Miller Landing Madness races are planned for August 14, and our beloved Springtime Tallahassee race is still up in the air at this point.
Newsletter – Robert Skrob
Robert reported that he is still needing content to publish the next issue of the Fleet Foot and is open to receiving contributions. In addition, he is looking to reinstate the race calendar and race results to be able to provide more for club members.
Membership –Tristan LaNasa
Memberships and households were reported at 999 and 508, respectively, as of May 12, 2021. These figures are compared to those at this time last year, which included 1,320 memberships and 700 households.
Diversity Committee – Chris Turner

Education and Lecture – Kat Sack

Trail Work Committee – Dominic Milner
As of now there are not many opportunities for trail work as we typically are a liaison when something comes up, so there may currently be no need for the committee.

Chenoweth Fund – David Yon
David reported that the focus at this time is the upcoming Potluck Bash.
Merchandise –Laura McDermott and Sherri Wise
Excited for races to be starting back up and looking forward to being able to soon bring merchandise back out to events.
Equipment – Tec Thomas
There was one equipment rental last month which was the Tails and Trails
Chip Timing– Bill Lott
Two races were chip timed in April. The Garnet and Gold 4-Miler and the Hops & Half Shells 5K/1M. Currently four races are scheduled to be chip timed in June. Two club races and two non-club, the Potluck Bash and the first of the Summer Trail races, as well as the Melon Run in Monticello and the Paul Hoover Freedom Run 5K.

Grand Prix Committee – Mark Tombrink
The Grand Prix committee is scheduled to meet to come up with a possible abbreviated Grand Prix and look at bringing back the Extreme Challenge.

Training Groups – Tristan LaNasa
Tristan discussed training groups and getting a list of all the training groups in the community as well. He is still actively trying to reach out to see if it is possible to resume having intervals at Mike Long track (FSU) or the Leon track.
Youth Council – Kaari Guyas
No report.
Social – Vicky Droze
Vicky reported she is actively looking for new ways to drive interest for social activities for the club despite the challenges of the past year. She is already planning the Holiday party for this year.
