Gulf Winds Track Club Minutes

Present: Mike Burns, Katie Sherron, Mandy Hudson, Nancy Stedman, Jerry Chesnutt, David Yon, Mark Priddy, Tom Perkins, Jackie McDaniel, Kathy McDaris, Eric Godin, Herb Wills, Bill Lott, Lisa Unger and Mary Jean Yon.

Lisa Unger called the meeting to order at 7:30 p.m.  Quorum was established.

The Board reviewed the October minutes. A motion was made, seconded, and passed to accept the minutes as presented.

New Business

David Yon  – David requested that the Club’s RRCA membership insurance be paid.  The amount due is $5,235.  A motion was made to approve payment, seconded, and approved.

Eric Godin – Last month Eric suggested that the use of an email service might benefit the Club.  He researched the idea and found a company, Vertical Response, that offers free email services to non-profit organizations (up to a maximum of 10,000 emails a month). He added that he would be responsible for managing the email service. A motion was made to move forward with the email service, seconded, and approved.

Lisa Unger – Lisa announced that Vicky Verano and Ana Sutherland would be the new directors of the GWTC 10/5 Mile Challenge race starting in 2015. 

Mandy Hudson – Mandy presented a projected budget for the Springtime 10k/5k for 2015.  With one change to the budget, a motion was made to approve it as presented, seconded, and approved.

Mary Jean Yon – Mary Jean updated the Board on the progress of the election.  It rolled out two days later than anticipated, however electronic voting is going well.

Treasurer’s Report –Jerry Chesnutt 
There is $78,224 in the Club’s operating account that includes $10,115 in the Events 1 Account, and $17,531in the Events 2 account.  There is $50,351 in the Investment account, $11,022 in the Chenoweth account, $28,000 in the equipment reserve account, and $10,218 in the Tri Club Account.

Membership Report – Mark Priddy 
There are 1,768 members in 881 households. This is an increase of 35 members and 17 households.  259 members have renewed for 2015.

Race Director Coordinator Report – Jackie McDaniel for Charlie Yates 
Nothing new to report.

Newsletter Report – Jackie McDaniel for Fred Deckert
Nothing new to report.

Clothing Coordinator Report –Abe Middleton 
Nothing new to report.

Equipment Report –Bill Lott and Vicky Droze
Bill said the megaphone was not working and will be replaced.

Website Report –David Yon
David Heller videotaped the recent Race Directors Workshop.  It can be viewed on the GWTC website.

Chenoweth Fund Report –David Yon
Nothing new to report.

Triathlon Report – Kathy McDaris 
Ironman Florida (IMFL) was held last weekend and the weather conditions were so bad that the swim portion was cancelled.

Lecture Series – Paul Guyas (via email)
On December 8th, David and Mary Jean Yon and Gary and Peg Griffin will tell stories and share photos from their trip to the Himalayas. Location to be announced in the near future.  And on December14th, there will be another installment of “Ask the Experts” – foot and lower leg edition.  Location to be announced in the near future.

Training Report – Beth Alexander
Nothing new to report.

Social Report – Eric Godin 
The next social will be Wednesday, November 19.  Join other runners to run the Turkey Trot Course (either the 5k, 10k, or 15k) starting at 6:30 p.m.  Afterwards, join the group for dinner at El Jalisco.  There will be door prizes from Capital City Runners. You must register by November 18th to be eligible for the door prizes and be in attendance to win.

Prior to adjourning, Bill Lott reminded everyone that the NCAA South Regional Cross Country Championship competition would be at the Apalachee Regional Park on Friday, November 14. 

Also, there was a brief discussion of negotiating a contract with emergency first responders for all GWTC races.  More discussion to follow.

There being no further business to discuss; a motion to adjourn was made, seconded, and passed at 8:32 p.m.
