GULF WINDS TRACK CLUB Minutes

Present: Julie Clark, David Yon, Mark Priddy, Charlie Yates, Felton Wright, Judy Alexander, Bill Lott, Jackie McDaniel, Vicky Verano, Jay Silvanima, Nancy Stedman, Mary Jean Yon, Tom Perkins, Bob Macdonald, Ryan Fix, Amy Antimucci, Jeanne O’Kon, Peg Griffin, Lisa Unger, Fred Deckert, Seeley Gutierrez and Gene Opheim

Judy Alexander called the meeting to order at 7:32 p.m. Quorum was established.

The Board reviewed the August minutes. A motion was made, seconded and passed by unanimous vote to accept the minutes as presented.

New Business

Peg Griffin – Peg presented the proposed budget for the upcoming Tallahassee Ultra 50M/50K. A motion was made to approve the budget as presented, seconded, and approved by unanimous vote.

Jeanne O’Kon and Peg Griffin – Jeanne presented the slate of candidates for the 2010 Officer/Board Elections. A motion was made to approve the slate as presented, seconded, and approved by unanimous vote.

Jeanne O’Kon – Jeanne presented the Awards Committee’s proposed 2010 grand prix schedule. A motion was made to approve the schedule, seconded, and approved by unanimous vote.

Jeanne O’Kon – Jeanne asked the Board to review the current policy statement and by-laws regarding grand prix committee members eligibility for nomination to receive annual awards. After some discussion among board members, a motion was made to adopt as policy that members of the Committee are not eligible while they serve on the Committee. The motion was seconded and passed unanimously. The Committee will amend the policy statement and present to the Board for approval.

Judy Alexander – Judy presented the proposed budget for the upcoming Ten Mile Challenge. A motion was made to approve the budget as presented, seconded, and approved by unanimous vote.

Jackie McDaniel – Jackie presented the proposed budget for the 2010 GWTC 30k/15k. A motion was made to approve the budget as presented, seconded, and approved by unanimous vote.

Tom Perkins – Last month at the Board meeting, Tom announced that 1,316 pounds of food was collected for Second Harvest Food Bank at the Miller Landing Madness race. He recently received a call from the Second Harvest Food Bank staff and was told that the total amount was actually 1,795 pounds of food.

Treasurer’s Report – Gene Opheim

The Club has $70,950 which is a decrease of $789 over last month. The Chenoweth Fund has $12,837 which is an increase of $1,963 over last month. The Tri Club has $1,397.93 which is an increase of $25.06 over last month. The 3rd quarter comparison of the 2009 Budget was presented comparing predicted versus actual income and expenses. The budget is on track.

Membership Report – Mark Priddy

The Club has 1,218 members in 696 households including 60 new members in 50 households.

Race Director Coordinator Report – Charlie Yates

The race calendar is up to date with a lot of races scheduled for 2009 and 2010.

Newsletter Report –Fred Deckert

None

Clothing Coordinator Report – Fred Deckert for Margarete Deckert

Margarete has run out of size small of the technical shirts. There will not be another order until more sizes are needed.

Equipment Report – Vicky Verano

Vicky reports that there are six races this weekend and they are all renting GWTC equipment. Bill Lott and Vicky both stated that the Club needs to purchase additional equipment for races such as water jugs, mega phones, and tables. A motion was made to increase the equipment budget by $5,000 for this year. The motion was seconded and approved by unanimous vote. The Automated External Defibrillator (AED) that was ordered has arrived and Bill Lott brought it to the meeting. Bonnie Wright will be coordinate training on the use of the AED with members of GWTC who are interested.

Website Report – David Yon

Peg Griffin reported that she and David are working on improving the GWTC webpage search engine.

Chenoweth Fund Report – David Yon

David passed around a letter from the Tallahassee Trailblazers on the results of the 2009 AAU Jr. Olympics and the success of their runners.

Triathlete Report – Robert Macdonald

Bob reported that the Tri Club has 160 members. The Tri Club meetings are the third Monday of the month at MoMo’s Restaurant. The next local triathlon will be held at the Seminole Reservation on November 14, 2009. The Tri Club is working on purchasing uniforms for their members. Bob suggested a joint meeting of the GWTC Board and the Tri Club Board to enable both groups to discuss areas of mutual interest. It was agreed that the Tri Club Board would attend the November GWTC Board meeting.

Lecture Series Report – Nancy Stedman

Nancy reported that there would be a movie before the end of the year.

Training Report – Julie Clark

No Report.

Social Coordinator Report – Kathy Lindsay

No report.

Before the meeting ended, David Yon announced that the Music Fest held the Sunday before the Turkey Trot will be at Chez Pierre this year.

There being no further business to discuss, a motion to adjourn was made, seconded and passed unanimously at 8:54 p.m.
